How to Reduce Your Email Storage

Check what's using the space

In your webmail or email client, look at folder sizes — Sent, Deleted Items, Spam/Junk, and any yearly Archive folders are usually the biggest culprits.

Pro Tip
Attachments are usually the single biggest space user. Where possible, download the attachment and save it locally on your computer rather than leaving it sitting in your webmail — once it's safely stored locally, delete the original email.

Empty Deleted Items and Spam

These are the safest to clear completely — right-click the folder and choose Empty Folder, or delete messages older than a chosen date.

Sort Sent Mail by size or date

Delete old sent messages with large attachments you no longer need, or move them to a local archive/export first if you want to keep a copy.

Review old yearly archive folders

Download anything you must keep to your computer, then delete the folder or its oldest contents.
